Privacy policy

Convene Systems (“we”, “us”) provides the Convene platform to organizations: Cloud instances, Convene Local for Windows and Convene Mobile for Android. This policy explains what personal information we handle, why, and the choices you have.

Who controls your data

When your organization uses Convene, the project content you and your colleagues create belongs to your organization, and your organization decides who can access it. We process that content on your organization's behalf to provide the service. Questions about project content should go to your organization's administrator first.

Information we collect

  • Account information: name, email address and sign-in details, and the organization and roles you are assigned.
  • Project content: the requirements, models, designs, files, test results, telemetry and other data your organization stores in Convene, with its change history.
  • Device information: when you link Convene Local or Convene Mobile to a Cloud instance, a device identifier and credential used to authorize sync.
  • Technical data: logs such as IP address, browser type and request times, used to run and secure the service.
  • Messages to us: what you send when you contact us.

Convene Local and Convene Mobile store projects on your own device. That data reaches us only when you sync it to a Cloud instance.

How we use information

  • To provide, maintain and secure the platform, including sign-in, access control and sync.
  • To respond to your questions and support requests.
  • To detect and prevent abuse and security incidents.
  • To meet legal obligations.

We do not sell personal information, and we do not use project content for advertising.

Sharing

We share information only with service providers that host and operate the platform for us (for example, cloud hosting, authentication and email delivery), under agreements that limit their use of it; when your organization directs us to; or when required by law.

Isolation and security

Each organization's Cloud instance runs in its own separate cloud project. We use access controls, encrypted connections and the measures described on our security page to protect information. No system is perfectly secure, and we will notify affected customers of a security incident as required by law.

Retention

We keep account and project data for as long as your organization uses the service, and delete or return it when the organization's agreement ends, unless we must keep it longer by law. Logs are kept for a limited period for security and operations.

Your choices and rights

You can ask us to access, correct or delete your personal information, subject to your organization's rights over its project content and to legal requirements. Contact us at adam@convene.gg.

Cookies and local storage

The website and platform use browser storage and cookies needed for sign-in, preferences and security. We do not use them for third-party advertising.

Changes

We will post changes to this policy on this page and update the date above. If a change is significant, we will notify customers.
